How do I program and use Office Status?

Office Status is an optional panel within BlueNote Communicator Lights that can be used to show the location and status of staff members throughout the practice. It can also be programmed to display whether or not a staff member is even in the practice, out to lunch, or on vacation. You may use Status is as a patient seating system, to show the presence of a patient or provider within a specific room, or even to move that patient or provider from location to location. Or you can use Status as a way to monitor which rooms have been cleaned and which ones are occupied. If you have never programmed Status before, this option is turned Off, and it may or may not have pre-populated settings as seen in the image below.

1
On a client with Administrator access, Go to  Menu > Preferences > Advanced > System Wide Changes > Edit Lights Configuration then click the Office Status tab.

2
Turn the Office Status to "On" and then click "Add Selection 1" to open an editing window. From here you will be able to add or change a variable, whether that is the name of a location, a provider's name, or a status. Choose a Color, the Text Color, a Sorting Order. You will also be able to choose whether this Name or Status can be allowed duplicate selections at the same time. Press Save to exit the button editor. Repeat this with each variable or status that you wish to add.

As with Selection 1, you will type the name of the location or status, select a Color background and Text Color, choose the Sorting order, and have the option of allowing duplicate selections. Press Save to exit the button editor. Repeat this with each location or status that you wish to add.

4
You will need to Publish your Office Status before exiting out of System Wide Changes. Click the Publish tab, click "Save and Publish Changes to all Clients" then type the word "publish" when prompted.

5
Once you've turned on Office Status, an additional panel will appear. Click on Status to open this panel. To indicate a status, you will see the Selection 1 choices first. Click on a selection. The screen will display all of the Selection 2 options. Click on a selection. On the left-hand side each Status will appear in its chosen sorting order alongside all other active Statuses, along with the time that the Status was activated.

Changing or Clearing a BlueNote Status

To Clear a Status, choose an active Status on the left, then click the orange Clear Status button

To change a Selection 1 Status to a Selection 2 Status (i.e. "Dr. Lee Out "to "Dr. Lee Available" from an active Status, click the Move button. You may also click into the white space within a Status to type in a note and press 'return on the keyboard' to enter the typed note.

Another way to quickly change a status is to click on Selection 1 in the right-hand column, then choose a different Selection 2.

Because Office Status serves as a courtesy board and not an official in/out system, past history is not archived or stored as data.
